Job Title: Director of Facilities

Position Overview
The Director of Facilities directs facilities management operations and future planning of school facilities, and establishes procedures for maintenance, and repairs and/or replacement of school facilities, grounds, and systems equipment. The Director of Facilities enforces fire and safety policies and procedures, and provides management and overview of the facilities team to provide operational support for school and community events on campus.
Key Responsibilities

Facilities Maintenance & Operations
  • Oversee daily operations of all campus buildings and grounds to ensure optimal functioning.
  • Direct and inspect campus facilities for regulatory compliance and operational safety.
  • Supervise and assist in maintenance activities such as HVAC, plumbing, electrical, painting, flooring, and furniture.
  • Maintain HVAC systems and operate the building automation system, including cleaning coils, replacing filters, and adjusting system controls.
  • Manage the setup, repair, and organization of classroom and office furniture.
  • Handle incoming deliveries of maintenance supplies and equipment.
  • Supervise locker maintenance and related student facility needs.
 
Safety & Compliance
  • Maintain and update the school’s comprehensive safety and emergency response plans.
  • Schedule, inspect, and maintain fire alarm and sprinkler systems; coordinate fire drills and maintain documentation.
  • Ensure compliance with all applicable building and safety codes, OSHA regulations, hazardous materials handling, and waste disposal laws.
  • Update and secure required city and state permits and licenses (boiler, chiller, gas, fire suppression systems, etc.).
  • Maintain safety records and ensure permits are properly displayed.
 
Security & Access Control
  • Manage the school’s access control system: issue and track keys and security fobs, and maintain electronic door locking hardware.
  • Work with the Director of Operations to support campus lock-down procedures and emergency notification systems.
  • Respond to campus emergencies (e.g., equipment failures, alarms) on a 24-hour basis as needed.
 
Vendor & Contractor Oversight
  • Oversee outsourced vendors, including cleaning crews, landscaping, and specialized maintenance contractors.
  • Monitor quality of contracted work and request changes as necessary.
  • Solicit and evaluate bids for outsourced work or renovation projects.
  • Supervise contractor performance and ensure fulfillment of contract terms before final payment.
 
Event & Facility Use Coordination
  • Oversee and support the use of school facilities for special functions, events, and large-scale gatherings—including evenings and weekends.
  • Coordinate facility rentals from initial inquiry to event execution.
  • Ensure that spaces are set up appropriately for all events and restored afterward.
 
Personnel Management & Training
  • Supervise maintenance staff including scheduling, workflow, and timekeeping.
  • Train personnel on maintenance tasks, equipment usage, and safety protocols.
  • Maintain staff accountability for safety compliance and work quality.
  • Stay current with trends in facilities management and promote continued learning among staff.
 
Campus & Community Engagement
  • Attend to the maintenance needs of school faculty, administrators, parent groups, and students.
  • Provide creative, solution-oriented responses to facility-related requests.
  • Participate in community safety trainings and collaborate with peer school facilities groups.
 
Strategic Planning & Leadership
  • Collaborate with the Director of Operations to develop and implement the department’s strategic plan in alignment with the school’s overall vision.
  • Plan, prioritize, and manage facilities projects and weekly work plans.
  • Monitor project progress, budget, material needs, and vendor execution.
  • Evaluate and approve purchases related to facilities and maintenance.
  • Create, manage, and forecast departmental repair and capital improvement budgets.
