Executive Assistant to the Head of School

Job Description: The Executive Assistant to the Head of School provides an array of secretarial and administrative tasks delegated by the Head of School in support of the school’s mission. The Executive Assistant also holds the responsibility of ensuring responsiveness, efficiency, and enhance collegiality, so that all stakeholders are well served. In addition, the Executive Assistant provides administrative support to the Board of Trustees, Senior Leadership Team, and manages a variety of special projects and events.
Essential Duties:
  • Model the School’s mission, ten commitments, and goals of the school to all students, parents, faculty, staff, and community
  • Strategically organize and maintain schedules and calendars for Head of School based upon priorities, goals, and objectives Coordinate meeting and travel arrangements. Assist Head of School in effectively managing his time throughout the day
  • Set virtual and in-person meetings and appointments for Head of School for both institutional and personal needs
  • Prepare schedules and materials for Board of Trustee and Committee meetings, and make all meeting arrangements for those meetings; create the meeting calendars and send appropriate calendar invitations
  • Maintain Board of Trustees and Committee meeting documents, online portal, and provide technical support to trustees when needed
  • Coordinate arrangements for trustee conferences, such as registration, travel, and hotel
  • Assist in planning and coordinating various school-wide events and meetings involving faculty, staff, students, parents, and donors and work in partnership with school Facilities Team and vendors when necessary
  • Perform various purchases, maintain expense reports, and manage budget items for the Head of School Office, along with ensuring that appropriate forms are submitted to Business Office
  • Answer and manage calls, mail, and e-mail messages
  • Receive visitors and direct members of school community to appropriate contact
  • Prepare, draft, and proofread accurate and well-written school correspondence
  • Maintain online calendar and scheduling for school’s Board Room
  • Assist in managing school memberships, such as ISAS and aid in accreditation process  
  • Develop schedules and arrange travel/logistics for Senior Leadership candidate visits
  • Assist in other departments and with administrative staff when necessary such as support for the Advancement Department, Business Office, and providing back-up for the front desk
  • Maintain and ensure confidentiality
  • Perform other duties as assigned

Knowledge and Skills:
  • Ability and willingness to quickly engage with school community to establish key relationships and gain institutional knowledge
  • Strong interpersonal skills
  • Excellent administrative skills including close attention to detail and organizational skills
  • Demonstrated ability to communicate effectively both in writing and in person
  • Adaptability to changes in work environment, manage competing demands, and unexpected events
  • Proficiency in Microsoft Outlook, Excel, Word, PowerPoint, Publisher, Adobe Acrobat, Google apps, and Blackbaud
