Position Overview
The Facilities Supervisor at The Emery/Weiner School plays a critical role in maintaining a safe, functional, and welcoming campus environment for students, faculty, staff, and visitors. This position oversees the day-to-day operations of the facilities team, including maintenance, custodial services, and campus event setups. The Facilities Supervisor ensures that buildings, grounds, and equipment are well-maintained and that facility needs are met with efficiency, professionalism, and care. This role requires a hands-on leader with strong organizational skills, technical knowledge, and a commitment to excellence in support of the school’s educational mission.
Key Responsibilities
Team Leadership & Coordination
- Supervise and coordinate the daily work of maintenance technicians, day porters, and the cleaning crew.
- Promote a culture of safety, teamwork, and respect among facilities staff and the broader school community.
- Assign daily tasks, manage work schedules, and ensure coverage for all shifts and school functions.
- Lead weekly facilities meetings with key departments (e.g., Security, Athletics, Extended Education).
- Maintain a strong, visible presence across campus, responding promptly to facilities-related issues.
Maintenance & Repairs
- Monitor and manage the maintenance of all campus buildings, grounds, mechanical systems, and equipment.
- Prioritize and schedule maintenance work orders, preventive maintenance, and emergency repairs.
- Troubleshoot and maintain systems such as HVAC, access control, fire alarms, and burglar alarms.
- Ensure sufficient inventory of maintenance supplies, tools, and equipment.
- Maintain clear records of inspections, equipment servicing, and maintenance performed.
Safety & Compliance
- Ensure all work is performed in accordance with safety standards, health regulations, and building codes.
- Maintain the fire marshal binder, including current permits and testing logs.
- Ensure all building permits are up to date and paid with the appropriate city or governing agency.
- Coordinate compliance documentation with the Facilities leadership team.
Vendor & Contractor Management
- Build and maintain strong relationships with vendors and contractors.
- Supervise contracted services, including landscaping, cleaning, and specialized maintenance work.
- Evaluate vendor performance and ensure cost-effective, quality service.
- Maintain an up-to-date and approved vendor list.
Events Management
- Support school events by coordinating facility setup, breakdown, and overall logistics.
- Collaborate with departments and the technology team to ensure proper AV and equipment functioning.
- Review event forms to anticipate facility needs and order necessary supplies.
- Create detailed facility setup guides ("facility booklets") for technicians.
- Attend post-event meetings and provide feedback from a facilities perspective.
Rentals Oversight
- Manage all facility rental agreements and ensure compliance with school policies.
- Collect and verify insurance documentation from third parties.
- Document all rentals with the Business Office and ensure employees are paid appropriately.
- Input rental times and locations into the Blackbaud calendar and monitor for scheduling accuracy.
Scheduling & Systems Management
- Set access control and HVAC schedules in alignment with the Blackbaud calendar.
- Actively review and engage with the Blackbaud calendar to catch scheduling conflicts or errors.
- Collaborate with the Director of Operations on long-term maintenance planning, budgeting, and capital improvement projects.
Qualifications
- High school diploma or GED required; relevant trade certifications or technical training preferred.
- Minimum of 5 years of facilities, maintenance, or building operations experience, with at least 2 years in a supervisory or team lead role.
- Strong knowledge of HVAC, electrical, plumbing, and general building maintenance.
- Ability to read and interpret blueprints, equipment manuals, and safety procedures.
- Excellent organizational, communication, and problem-solving skills.
- Ability to lift up to 50 lbs and work in varying environmental conditions.
- Familiarity with facility management software or systems preferred.
- Experience working in an educational setting or campus environment is a plus.
